Information is provided for all families in various ways. It is your responsibility to read the information made available and to keep informed. You can do this in the following ways:

  • Internet access: check your email and visit the website regularly.
  • Check your "mailbox" in Room 11 when you attend Friday classes.
  • Read the other notices found on the information tables in Room 11 at Specials Day.
  • Attend the Support Meetings scheduled throughout the year.

Dates and Resources

The Spring semester of Specials Day runs for 10 Fridays from February 24, 2012 through May 4, 2012. There will be no classes on the following dates: April 6, 2012 .

The SCCK Information Packet is your greatest resource - please print it out, put it in a folder and read it from cover to cover! It contains important dates, names and email addresses of Board members, general information, policies and procedures, calendar of group events, and safety procedures that all participants are expected to follow. This is a great place to keep additional SCCK information that you will receive throughout the year.

Where Does My Money Go?

Well, we can't account for all of your money, but here's what happens to the fees you pay as part of SCCK:

  1. $50 or $55 enrollment fee to join the group - this fee is used to pay for insurance for our group, buy photocopying and business supplies, and fund large group activities such as field day.
  2. $20 Specials Day registration fee - this fee is used as a church donation for facility usage and also to buy teacher gifts at the end of the semester
  3. Class fees - basically, what we collect is paid directly to the teachers. As an 'administrative fee' of sorts, we do ask each teacher to allow one non-paying student per class so that board members may receive a discount on the cost of classes

Emergency Evacuation Procedures

These are the Emergency Evacuation Procedures. Please read over them carefully and go over them with your older children so they are prepared for what they need to do in an emergency.

  • Teachers and Teacher's Aides will line students up at the door and follow the exit instructions posted by the door in each room
    • Aide should be at the front of the line, teacher at the back of the line.
    • Instruct children to exit in a quiet and orderly fashion.
    • Take your attendance folder with you!
    • Meet the rest of SCCK members at the volleyball court
    • Take attendance and make sure all children are accounted for
  • Any adult in Room 11 or passing by Room 11 should pick up the Specials Day Information Binder and sign-in sheet.
  • Parents who do not have other responsibilities are asked to assist with evacuating children in the nursery.
  • All students and adults should meet at the volleyball court where aides should again take attendance.

Lunch Policies

There will be pizza lunch each Friday in the gym. Purchase tickets for the pizza lunch in Room 11 on Friday morning. A full lunch is $3 and includes a slice of pizza, a drink, a fruit, and a dessert. Additional slices of pizza may be purchased for $1 each (only after purchasing a complete $3 lunch). If you will not be arriving at Specials Day until lunch time but would still like to purchase lunch, please e-mail Terry Delph. Any donations of fruit/applesauce, chips, individually wrapped deserts, Capri Suns, and water would be greatly appreciated.

Lunch is probably the most challenging part of Specials Day. We have over 100 students and parents who are signed up for lunch this semester. The lunch aides work very hard to supervise the children and maintain order, but it would be most helpful if you would discuss the following guidelines with your children to help lunch run as smoothly as possible:

  1. Children with severe food allergies must be accompanied by a parent
  2. Children need to remain seated during lunch. There are just too many people in the gym to allow ball playing and running around.
  3. Children are not to eat, sit, or play on the bleachers.
  4. Children should put their chairs away and line up at the sign for their class and the 12:00 aides should be present to take the children to their class. Please be careful not to drag the chairs across the gym floor - it is very expensive to maintain.
  5. Children must ask permission to leave the gym to use the bathroom. There will be an aide posted at the gym door.
  6. Children, including older children, are not to leave the gym until their 12:00 class is dismissed as a class with their aide. Older children may be allowed to walk by themselves, but they are still requested to wait until their class is dismissed. If older children could please comply with this, it would make the lunch aides very happy! They are just trying to make sure we don't lose anyone!
  7. If your child is signed up for lunch but will not be attending lunch that day, please let the lunch aides know. The lunch aides will be searching for any students on the lunch roster who do not show up. This note is especially for teachers/parents whose children may be eating with them somewhere other than the gym. Note: Please refrain from eating in any of the classrooms or the nursery. If you would like to eat outside with your child(ren), you are more than welcome but please let the lunch aides know.
  8. Parents who are present during lunch, please assist the lunch aides in any way that you can. Thank you!!

Friday Duties

Unless you are a teacher or a board member, you were assigned Friday duties when you registered for Specials Day classes. Most likely you are a teacher's aide, or a set-up or clean-up person. In addition, if your children are eating lunch on site, you have been assigned as a lunch aide once or twice.

If you do not remember the duties and dates that you are responsible for, please contact Susan Grosko immediately.

Our program cannot operate without the help of all of the parents as volunteers. Everyone (kids, parents, teachers) is counting on you to be there to do your assigned duty. If for any reason you cannot make it, you are responsible for finding a substitute to take your place. If you cannot find a substitute, send an e-mail to the group as soon as possible. As soon as you have a replacement, e-mail the group again to let everyone know your request has been fulfilled and who will be taking your duty. If it is an emergency or you cannot find a replacement for your duty, please let Susan Grosko know right away.

Please arrive 5-10 minutes before the start of your volunteer duty time. Allow extra time if you also need to get your own children settled in the nursery or off to class.

Here are a few reminders for teacher's aides:

  1. Pick up attendance folders in Room 11. Return them at the end of the class period.
  2. If there are students absent from your class, go to Room 11 and check the sign-in sheet. If the absent student appears to have signed in for the day, you must locate that child. Check their last class, hallways, bathrooms, other classrooms.
  3. Information about each child's schedule, as well as each family's emergency contact information, can be found in the Specials Day Information Binder on the table in Room 11.
  4. If there is an emergency and you need an extra adult, there should be an SCCK member or board member in Room 11 or in the building to assist you.
  5. At the end of class, escort students to their next class. If this is a child's last class of the day, leave the child with the teacher to be dismissed to the parent at the classroom.

Throughout the Day

Please arrive several minutes before the start of your class, as classes will begin on time. Room numbers for the classes are now available on the catalog page at this link http://www.sccovenantkeepers.com/specials/docs/catalogDB.php. Room numbers will also be posted on the door in Room 11.

Students in consecutive classes will be escorted to their next class by teacher aides. Aides will have a list of which class each student is going to next. For all of your children in grades 5 and younger, please record their schedule and either stick it to their shirt or have them carry it in their backpack. This will help assist our aides and our children.

At the end of your child's final class, please pick him up promptly from his classroom. Sign your child out by crossing off his or her name on the attendance sheet in Room 11.

Children who do not have a class at a given hour must be supervised by their parent or appointed guardian. This includes children who have a break or a free hour between classes. Due to limited space, we can not offer a study hall at this time.

Children should carry all belongings with them throughout the day. A backpack is recommended.


Arrival and Dismissal

When you arrive in Room 11:

  1. Sign in by highlighting each child's name on the sign-in sheet
  2. Get nametags from your "mailbox", which is a file box with a folder for each family
  3. Children and moms, please wear nametags while at Specials Day!
  4. Check your mailbox for other mail.
  5. Check the information table for flyers and sign-up sheets for upcoming trips and events
  6. IMPORTANT: On the first day, please sign the emergency contact forms for your children. All the forms should be in the binder under the child’s last name. If your child is missing a form, please fill out one of the blank forms that are in the front pocket of the binder and file in the appropriate place.
  7. Look for room numbers posted on the door of the room
  8. ESCORT your children to their classroom
  9. If you have any questions, there should be a Board Member or other SCCK member on duty to assist you.

When you are leaving for the day:

  1. Return to Room 11.
  2. Use a pen to cross out your child's name on the sign-in sheet.
  3. Check your mailbox again
  4. Make sure you and your children have all of your belongings. If a child made a project in class, it will usually be available for pick-up on a table in Room 11 or in the art room.
  5. Items left behind at the end of the day will be placed in the Lost and Found basket down the hall near the bathrooms and water fountain.

Odds and Ends

Here are a few miscellaneous details that you should know about Specials Day:

  1. 1) If you need to use a phone for an emergency, there is one on the wall of Room 11.
  2. 2) The vacuum cleaner is located in the boiler room, which is near the water fountain at the end of the Room 11 hallway.
  3. 3) SCCK supplies are stored in the closet at the back of the fellowship hall on the shelves just inside the closet doors on the right. There are some markers and crayons available for use by our classes.
  4. 4) SCCK has a First Aid Kit that should be in Room 11 each Friday. If it is not in Room 11, check the supply closet mentioned in #3 above. The church also has a First Aid Kit above the mailboxes next to the downstairs kitchen.
  5. 5) The parish office center is located upstairs near the gym and Cassidy Center. There is no reason for anyone from our group to be in that space at any time. We have the use of most of the facility except Room 6 and the Youth Room. Please do not use these rooms at any time on Fridays unless a special class is scheduled in the Youth Room.
  6. 6) If you cannot find a person to help you and you need any kind of information about SCCK, class lists, student schedules, emergency contacts, allergies, etc., please look through the "SCCK Information Binder," located on the table in Room 11. This is a valuable resource - take a look at it when you get a chance!
  7. 7) Don't forget to check your email for important last minute notices about Specials Day. If possible, check it before heading up to the church each Friday.
  8. 8) Please pray for our teachers, students, parents, and the church staff as we begin classes! Looking forward to seeing you then!
